As our Project Coordinator, you’ll play a critical part in supporting sales coordination, project execution, business development, and office operations. The ideal candidate is highly organized, detail-oriented, tech-savvy, and passionate about delivering exceptional client experiences. 

  • Compensation: $54,000 to $56,000 annually, dependent on experience. 
  • Benefits: $200 monthly stipend for health insurance, 10 days of PTO, 8 paid holidays, and 1 floating holiday.

Key Responsibilities:

Sales & Project Support

  • Schedule consultations, measures, installations, and account follow-ups, working with 3rd party partners along the way.
  • Execute lead follow-up campaigns to secure appointments and follow-up campaigns for unsold quotes
  • Input contact and project details into CRM system, assigning next steps to the appropriate sale rep and updating calendars accordingly
  • Prepare sales materials including photos, measurements, and project specifications
  • Update and revise quotes as needed for stylists
  • Coordinate communication and material exchanges between clients and stylists
  • Upload tracking numbers, delivery ETAs, and project updates
  • Assist in client updates and final paperwork and closeouts, delivering products to clients or vendors when necessary
  • Oversee warranty and remake projects: gather necessary client info, coordinate scheduling and invoicing

Business Development

  • Execute outreach campaigns via phone and email to develop new and existing accounts
  • Support the Marketing Manager in executing marketing initiatives and reaching annual goals
  • Order, track, and distribute marketing collateral to the sales team

Office Management

  • Manage daily showroom operations: greet walk-in clients, answer calls, maintain displays and organize samples
  • Provide quotes for walk-in customers requesting small repairs, parts, with the goal of converting inquiries to sales
  • Coordinate maintenance for the company vehicle fleet, including detailing and repairs
  • Maintain overall showroom cleanliness, ensure safe and welcoming environment for guests
  • Assist with event planning and logistics for internal meetings, client appreciation events, and birthdays
  • Manage client gifting, including handwritten thank-you cards and gift deliveries

Requirements:

  • Ability to type 50+ WPM
  • Strong attention to detail and ability to follow procedures accurately
  • Friendly and professional demeanor, polished appearance, and confident communication style
  • Proficient in Microsoft Office, Google Workspace, Adobe Suite, and CRM software
  • Strong written and verbal communication skills
  • Excellent self-management, organization, problem-solving, and time management
  • Ability to lift up to 35lbs
